Group Sales Coordinator
Company: Hotel Valencia Riverwalk
Job Type: Full time
Description:
Receiving and qualify all incoming leads via CVB, Cvent, inquiry calls, email, organizing them and determine who to direct lead to by group market (either Senior Sales Manager or Group Sales Managers) in a timely manner.

Log all lead information (company, contact information, dates, source and sales managers response) into Lead Tracking Sheet (Excel) weekly.

Create group sales turnover files (Upon countersigning the sales contract, block is then turned definite at which time the group sales coordinator prepares a group folder (including booking report, contract, rooming list, etc) in a timely manner.

Send Turnover letter to clients with Conference Services contact info and call in instructions (if required) in a timely manner.

Route amenities for VIP guests of Sales Manager (place alerts in reservations, print welcome cards, route to Room Service, etc) in a timely manner.

Create food orders (Boxes of cookies, create BEOs, route to kitchen & banquet staff)

Deliver Food orders to guests staying at comp set (business lost)

Complete group pickup reports for SACVB or 3rd parties

Create Sales Kits for Group Sales & Catering Sales

Send out Sales Kits and other requested materials to clients (via mail or Fed Ex)

Log all LOST Business

Servicing all IHO rooms only wedding blocks (Send contact rooming lists, present information at Staff Meetings, etc)

Cross reference entertainment groups for upcoming tour dates by month

Create formal proposals via e-mail and send to clients on behalf of Sales Manager

Send a turndown letter via e-mail and send to clients on behalf of Sales Manager

Merge and edit group sales contracts, send to Sales Manager for review then send to client on behalf of Sales Manager.

Create group sales addendum; send to Sales Manager for review.

Coordinate all site visits with operations team (make sure keys work, check to make sure guestrooms are ready, lights on, etc)

Create “Hot Site Forms” or VIP site visits (group details, potential revenues, timeline, company info, etc)

Send proposals, turndown letters, thank-you letters, contracts, countersigned contracts, reports, etc.

Shows the clients the hotel facilities by conducting tours of the property

Follow through on all definite status groups coming into the hotel. Create files with all group information for Conference Services Manager.
